Setting Absent or Vacation message

This guide is for business customers.

This is how you can manage your phone traffic by setting an Absent message or Vacation message in the VIP Plus service. You can set the message via the VIP Plus interface or mobile app.
Vacation and Absent messages are useful when you want to manage your incoming calls. Both features operate on the same logic: when the message is active, callers are informed that you are on vacation or away from work, and the call is redirected to your voicemail (even if voicemail is not normally in use).

If you do not set an end time for your Vacation or Absent message, callers will hear the following when the message is active: “The person you are trying to reach is on vacation / away from the workplace. If you want the call to be transferred to the person, press 2.”

If you set an end time for the message, after the regular announcement, the system will also inform when you will be available again: “The person you are trying to reach is on vacation / away from the workplace. They will be reachable on xx.xx at xx.xx. If you want the call to be transferred to the person, press 2.”

With the following instructions, the Vacation or Absent message will become active immediately.
•    Open the mobile app.
•    Swipe right to left to open the menu. Select the Activity row and choose either Vacation message or Absent message, depending on which you want to use. If you wish to set an end time, tap the three dots, define the activity and its end time, and then tap the check mark in the top right corner. The message is now defined and active.
•    If you set an end time, the default activity (“Available”) will be restored after your set period.

You can also schedule a Vacation message or Absent message for the future as follows:
•    Open the mobile app.
•    Swipe left to right to open the menu and select the Upcoming Status tab.
•    Press the plus button in the top right corner.
•    Enter a name for the event.
•    Under Activity, choose Vacation message or Absent message.
•    Under Role, choose Mobile. This way, your mobile number will be shown to the call recipient while the message is active.
•    You can enable a note by activating the toggle. The note will be visible to other VIP Plus users during the event.
•    Set the start and end times. Note: you can make the message a recurring event. If you do, always set an end date.
•    Save by tapping the check mark in the top right corner.
•    The message is now defined and will become active at the scheduled time.
•    After the event ends, the default role (Mobile) and activity (Available) will be restored.
 

With the following instructions, you can set the vacation message or absent message in the VIP Plus interface.
•   Log in to the VIP Plus interface
•   Select the availability status dropdown at the top of the interface.
•   Hover over Vacation message or Absent message, click the clock icon that appears on the right, and select Customize.
•   Set the start and end times for the message.
•   Under Role, choose Mobile. This way, your mobile number will be shown while the message is active.
•   You can add a note if you wish. The note will be visible to other VIP Plus users during the event.

You can use a bypass list with your Vacation message or Absent message. When contacts you have defined as important call you, they will bypass the message and the call will be connected directly to you.

Adding a contact to the bypass list 

For important people, such as relatives, friends, or children, you can create a bypass list so they do not have to listen to your Vacation or Absent message. The bypass list includes all contacts defined as VIP (Very Important Person). There is no limit to the number of contacts on the list, and the easiest way to manage it is via the mobile app.

Note: The number must be added as a contact in VIP Plus before it can be set as a VIP contact. Here’s how to add an external number as a contact:
•    Open the mobile app. By default, it opens on the Contacts tab.
•    If not, swipe left to right to open the menu and select the Contacts tab.
•    Find and select the desired contact.
•    In the contact details at the top right, you will see a status symbol (usually a star). Tap the symbol.
•    Select the heart symbol (VIP).
•    The contact is now on the bypass list.

In the VIP Plus user interface:
•    Log in to the VIP Plus interface 
•    Find and select the desired contact at the top of the page. If not found, add the contact to your contacts first.
•    Click the circle in front of the contact’s name; the contact card will open.
•    Click the VIP circle on the contact card. It will turn light blue.
•    The contact is now a VIP and on the bypass list.

You can see your VIP contacts under the VIPs section in the Contacts menu.

Other settings for the Vacation message and Absent message are managed in the old version [https://vip.telia.fi] of the VIP Plus service. You log in with the same credentials as for the VIP Plus user interface. Note: you cannot log in with an email address, only with the phone number registered to the service.

If you have a stand-in during your absence or want to direct calls to your company’s customer service, you can set the option “press 1” for another number. The caller will then hear: “The person you are trying to reach is on vacation / away from the workplace. For business matters, press 1. If you want the call to be transferred to the person, press 2.”

Forwarding Calls to a Colleague or Customer Service
•    Log in to the old version of the VIP Plus service.
•    Your username is your phone number in national format (e.g., 0401234567). If you forget your password, you can set a new one on the login page.
•    In the top menu, choose Services → Voicemail settings.
•    Set “Add customer service option to greeting” to Yes (the caller will be told: For business matters, press 1).
•    If you add a number to the “Transfer to this customer service number (e.g., +358401234567)” field, provide the phone number in international format.
•    You do not need to adjust other settings. Click Apply. Now option 1 will be offered to callers during calls reaching voicemail.
•    When you return from vacation, change “Add customer service option to greeting” to No.

Note: This setting cannot be scheduled. If it is enabled and your activity is, for example, Available, all calls reaching voicemail will offer option 1 (For business matters, press 1). If the caller presses 1, the call is forwarded to the number you defined.

•    The contact is now on the bypass list.

With VIP ConnectMe using the browser-based desktop phone or app:
•    Find and select the desired contact at the top of the page. If not found, the contact must be added first (see your own guide).
•    Click the circle with the picture or nickname in front of the name to open the contact card.
•    Click the VIP circle on the contact card. It will turn light blue.
•    The contact is now a VIP and on the bypass list.

You can see your VIP contacts under the VIPs section in the Contacts menu.
